Description
- Calendar Management: Effectively manage and coordinate the daily schedule, appointments, and commitments of the administrative personnel, ensuring efficient use of time.
- Communication Handling: Act as a primary point of contact for the administration team, screening and prioritizing emails, phone calls, and other communications, and responding on behalf of the executives when necessary.
- Documentation and Filing: Assist in organizing, maintaining, and filing documents, reports, and other administrative records, ensuring easy retrieval and confidentiality when required.
- Travel Coordination: Make travel arrangements, including booking flights, accommodations, and transportation, and provide detailed itineraries for administrative personnel as needed.
- Meeting Support: Coordinate and prepare materials for meetings, take minutes, and follow up on action items, facilitating smooth communication and collaboration within the administrative team.
- Task Prioritization: Help prioritize tasks and deadlines, ensuring that key responsibilities are addressed in a timely manner, and assist in managing workloads efficiently.
- Office Management: Contribute to the smooth running of the office by managing supplies, coordinating office equipment maintenance, and liaising with relevant service providers.
- Confidentiality: Handle sensitive information with discretion, maintaining a high level of confidentiality and professionalism in all interactions and tasks.
