Description
Customer Service:
- Provide excellent customer service by welcoming and assisting visitors, clients, or guests in a professional and friendly manner.
- Handle inquiries and provide information about the organization's products, services, or facilities.
Reception Duties:
- Manage the front desk, answer and direct incoming calls, and handle email correspondence.
- Coordinate with other departments to ensure efficient communication and resolution of inquiries.
Appointment Scheduling:
- Schedule appointments, meetings, and conference room bookings as per organizational needs.
- Maintain an organized and up-to-date calendar for appointments and events.
Administrative Support:
- Assist in administrative tasks such as data entry, document preparation, and mail distribution.
- Provide support to other departments as needed, including handling basic clerical duties.
Visitor Management:
- Register and direct visitors, ensuring they follow security procedures.
- Issue visitor badges and maintain visitor logs for security and record-keeping purposes.
Communication Handling:
- Manage incoming and outgoing mail, packages, and deliveries.
- Distribute messages and information to the appropriate personnel within the organization.
Problem Resolution:
- Address and resolve issues or concerns raised by visitors or callers.
- Escalate more complex issues to the appropriate department or personnel for resolution.
Maintaining Front Office Appearance:
- Ensure the front office area is clean, organized, and presentable at all times.
- Manage the inventory of office supplies and place orders as necessary to maintain stock levels.
