Description
- Welcome clients, guests, and visitors to the office in a friendly and professional manner, providing assistance and directing them to the appropriate person or department.
- Respond to phone calls, emails, and in-person inquiries promptly and courteously, providing information, answering questions, and addressing concerns as needed.
- Coordinate and schedule appointments for clients, staff, and meetings using scheduling software or calendars, ensuring accuracy and efficiency in scheduling.
- Ensure the reception area is clean, organized, and presentable at all times, including tidying up the waiting area, replenishing supplies, and arranging seating as needed.
- Sort and distribute incoming mail, packages, and deliveries to the appropriate recipients, and prepare outgoing mail and packages for shipment or courier pickup.
- Provide administrative support to various departments, including data entry, filing, photocopying, and scanning documents, and assisting with special projects as assigned.
- Assist in coordinating meetings, conferences, and events, including scheduling rooms, arranging catering, and preparing meeting materials as needed.
- Process payments for services or products, collect fees, issue receipts, and reconcile cash and credit card transactions accurately.
