Description

  • Greet visitors, clients, and employees warmly and professionally, directing them to appropriate personnel or locations and providing assistance or information as needed.
  • Answer and manage incoming calls, transferring calls to appropriate personnel or departments, taking messages accurately, and providing information or assistance over the phone with courtesy and professionalism.
  • Manage the front desk area, including maintaining a clean and organized reception area, managing incoming and outgoing mail, packages, and deliveries, and ensuring office supplies are stocked and replenished as needed.
  • Schedule appointments, meetings, and conference room reservations, coordinating with staff and updating calendars or scheduling systems accurately and efficiently.
  • Assist with administrative tasks, such as data entry, filing, photocopying, scanning documents, and preparing correspondence, reports, or presentations, with attention to detail and accuracy.
  • Manage visitor access and security procedures, issuing visitor badges, logging visitor information, and ensuring compliance with security policies and procedures.
  • Handle inquiries, requests, and complaints from visitors, clients, and employees promptly and professionally, escalating issues to appropriate personnel as needed to ensure resolution.
  • Coordinate with other departments to facilitate visitor arrivals, meetings, events, and special requests, ensuring seamless communication and collaboration across the organization.
  • Maintain confidentiality of sensitive information, such as visitor records, client details, and organizational data, and adhere to privacy and security policies and regulations at all times.
